What Personal Data Do We Collect About You?

We collect the information necessary to be able to find available opportunities and assess your eligibility through the different stages of recruitment. This includes CVs, identification documents, educational records, work history, employment details, and references.

 

Where Do We Collect Personal Data About You From?

We may collect personal data from the following sources:

  • Directly from you during your job search or recruitment stages.

  • From an agent/third party acting on your behalf, e.g., a contractor’s limited company.

  • Through publicly available sources, including:

  • By reference or word of mouth, such as recommendations from colleagues, employers, or contacts.

Where we collect information from public sources, we may use software tools such as Sourcebreaker and Broadbean. These tools search publicly available data using parameters relevant to job roles. They only output information where there is a reasonable expectation that such data may be collected and processed for recruitment purposes.

 

How and Why We Use Your Personal Data

We use your personal data to match your skills, experience, and education with potential employers. We initially collect basic information such as contact details, job role, and experience, and pass this to clients seeking personnel. If selected for further stages, we may collect additional information during interviews or assessments. We may also contact you with relevant market updates or new job opportunities.

 

How Long Do We Keep Your Personal Data For?

We retain your data as follows:

  • Candidate data: 36 months (unless you opt out or request deletion)

  • Contractor data: 36 months (unless you opt out or request deletion)

  • Client contact details: 36 months (unless you opt out or request deletion)

If there has been no communication within this period, we will proactively seek renewed consent.

 

Who Do We Share Your Personal

Your personal data may be shared with clients who initiate a search for personnel, to assess suitability for available roles. We may also conduct verification checks and share relevant information with clients for compliance purposes. Your name or contact details will not be shared without prior consent.

 

 

What Legal Basis Do We Have For Using Your Information?

For prospective candidates, contractors, referees, and clients, processing is necessary for our legitimate interests, including assessing suitability for roles, sourcing candidates, and contacting clients and referees.

If you are interviewed or submitted as a candidate, we may process more detailed or sensitive personal data (e.g., health information). In such cases, we will always request your explicit consent.

For clients, processing may also be necessary to perform a contract, such as contacting you regarding recruitment activity.

 

What Happens If You Do Not Provide the Information We Request or Withdraw Consent?

If you do not provide necessary personal data, or withdraw your consent for the processing of personal data, we may not be able to match you with available job opportunities.

 

Do We Make Automated Decisions Concerning You?

No, we do not carry out automated decision-making or profiling.

Please consider your request responsibly before submitting it. We’ll respond as soon as we can. Generally, this will be within one month from when we receive your request but, if the request is going to take longer to deal with, we’ll come back to you and let you know.
